Privacy notice

This notice explains how Clariovo handles personal data. It is written by us as the operator of the service and is not legal advice.

Who we are

Clariovo provides the Clariovo Casework CRM, a hosted case management application for professional services teams. In this notice, "we" and "Clariovo" mean Clariovo, the operator of clariovo.com.

Website visitors

When you browse clariovo.com we process the technical information your browser sends, such as your IP address, the pages requested and timestamps, so that the site can be served and kept secure.

If you email us to ask about the product or request a demo, we process the contact details and the information you choose to include, so that we can reply and follow up.

Customer accounts

For people who use the application, we process the account details needed to run it: name, work email address, the organisation you belong to, your role, and authentication information including your two-factor enrolment.

We also record activity in the application — case creation, assignments, stage changes and administrative overrides — with the acting user and a timestamp. This audit record exists so that customers can evidence who did what.

Case data entered by customers

Customers decide what case, client and financial information they enter into their workspace. For that information the customer is the data controller and Clariovo processes it on their instructions, under the agreement between us.

Each customer workspace is isolated from every other, and that isolation is enforced by database access rules rather than only in the interface.

Why we may process personal data

To provide and support the service under our contract with the customer; to keep accounts and data secure; to send service emails such as invitations, password resets, assignment and stage-change alerts; and to meet our own legal and accounting obligations.

Service providers

We use third-party providers to host the application and its database and to deliver email. They act on our instructions and are not permitted to use customer data for their own purposes. We will provide a current list of these providers on request.

Retention

Account and case data is retained for as long as the customer's workspace is active. After a workspace is closed, we remove it in line with the agreement with that customer. Enquiry emails are kept only as long as needed to deal with the enquiry and any follow-up.

Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. If your data sits inside a customer's workspace, please contact that organisation first, as they control it — and we will assist them.

Changes to this notice

We will update this page when our processing changes and will tell customers about material changes by email.
